Start with the workflow, not the form.
Before adding a new field, ask what happens after the information arrives. A useful intake process gives each administrative request a clear owner and a next step. It should also make missing prerequisites visible without turning an incomplete request into a hidden task.
Make the handoff explicit.
A short checklist can identify what the team needs to review, who is responsible, and when to revisit the request. Keep clinical decisions with the appropriate professionals. A workflow status should describe an administrative action, rather than imply that a patient is eligible for care.
Review what gets stuck.
Look at requests that repeatedly pause at the same step. The cause may be an unclear instruction, an unnecessary approval, or a dependency outside the team. Use those observations to improve the process before adding more automation.
